Director's Assistant & Business Administration Specialist (m/f/d)

Location: Zagreb

As Director’s Assistant & Business Administration Specialist, you will be responsible for providing administrative and operational support to the executive. Key tasks include managing the daily operations, such as handling communication with other departments and external partners, maintaining business documentation, preparing materials for the executive team, and organizing meetings.

Main responsibilities:

  • Providing administrative and operational support to the leadership in executing strategic and organizational initiatives
  • Assisting in financial planning and budgeting, as well as the preparation of monthly, quarterly, and annual reports performance reports and analysis
  • Overseeing and supporting the daily operations of the executive office
  • Organizing and preparing business meetings
  • Preparing materials, presentations, and documentation for the management board
  • Coordinating internal and external communication with various collaborators and partners
  • Providing administrative support to the leasing department, including maintaining records of all relevant documentation
  • Managing invoicing processes and monitoring receivables, including compiling reports on outstanding payments
  • Reviewing and archiving of documentation required for efficient operations
  • Assisting other departments as necessary

Required skills, knowledge, and experience:

  • Previous experience in a similar administrative or executive support role
  • Strong verbal and written communication skills in English
  • Advanced knowledge of MS Office programs
  • High level of proactivity and willingness to take responsibility
  • Ability to quickly learn and adapt to new software and digital tools
  • Professional and positive communication with stakeholders
  • Precise, timely, and independent execution of tasks
  • Team spirit and a positive approach to the workplace
  • Category B driving license
